PRIVATE & COMMERCIAL HIRE

Hire terms & conditions

Version 2026-10-22-v2

The essentials

Hirer aged 21+ · Adult supervision required · £25 booking deposit · Balance paid at setup before handover · No credit terms · Reasonable care required · Fair, evidenced damage charges · Sunday collection unless separately agreed.

1. Your hire and supplier

These terms cover self-run karaoke and disco equipment hire. The hire provider’s legal name, business address and contact email, the customer’s identity, equipment list, agreed quote, delivery and collection arrangements must be provided in writing before any payment is requested. All Leisure UK is the payment account name. The equipment remains our property. A DJ or host is not included.

2. Minimum age, the hirer and business customers

The individual making the booking and accepting this agreement must be at least 21 years old. An under-18 party must be booked by an adult aged 21 or over, who is the named hirer, or an authorised representative aged 21 or over of the named business. We may ask to see proof of age at handover; please tell us before booking if suitable proof cannot be provided so arrangements can be agreed. Tell us whether you are booking privately or for a business. For business hire, the contracting customer is the legal business named in the booking, and the person booking confirms they have authority to act for it. A venue name alone does not establish who is responsible. An employee or organiser does not give a personal guarantee simply by arranging the hire. A private customer hiring for an event at a pub or hotel remains the customer unless we expressly agree otherwise.

3. Price, booking deposit and no credit

Weekend hire is £149 plus confirmed optional extras and the delivery supplement agreed in your quote. Using your own compatible TV with our 10m HDMI cable costs an additional £5 and replaces the included TV without reducing the base package price. An additional 32-inch screen costs £7.50, subject to spare-screen availability and connection requirements. These options must be confirmed in writing before payment. Projector or large-screen hire is an enquiry only and is not included unless separately agreed and quoted. The £25 booking deposit is part of the price and is not a damage deposit. Your remaining balance is payable after setup and demonstration, before the equipment is handed over for use. These payment terms apply to private customers, pubs, hotels and other businesses. We do not offer 7-, 14- or 30-day credit or accept a purchase order as payment. A later damage claim is separate from the hire balance.

4. Reservations and confirmation

An online reservation holds one set for 24 hours. We check the booking details, confirm the quote and release payment instructions privately. The booking is confirmed when we agree delivery, receive the booking deposit and mark it confirmed. Unconfirmed reservations expire automatically. Bank transfers are checked manually and do not automatically change the status. Do not pay after a hold has expired without contacting us. If money arrives for a booking we cannot provide, we agree an alternative or refund it; it is not automatically forfeited.

5. Delivery, setup and collection

Thursday delivery for Friday use, Friday-evening delivery and Saturday-morning delivery are subject to agreement. Collection is on Sunday at the agreed time. Midweek hire is by separate agreement. Provide safe access, suitable mains power, a dry suitable location and permission from the venue. Tell us about stairs, access restrictions and internet availability before booking. Do not move, dismantle or relocate the installed equipment without our agreement. If collection is delayed because of our own arrangements, no extra hire charge applies.

6. Condition and handover

At setup we list the supplied equipment, demonstrate it and record any existing damage or missing items with you. We may take dated equipment photographs and share the condition record. Please identify any disagreement before handover. At collection we check the same items and record their condition, ideally with you present. Photos support the record but do not make our opinion final or prevent a genuine dispute. Photos should focus on equipment, avoiding people and unrelated private belongings.

7. Reasonable care and safe use

The named hirer is responsible for arranging payment, providing accurate venue and access details, obtaining required venue permissions, and ensuring the equipment is available for collection at the agreed time. The hirer, or an adult representative agreed with us in advance, must attend setup, receive the demonstration and sign the condition record. Throughout use, the hirer must ensure a responsible adult aged 18 or over supervises the equipment, particularly at events involving children or teenagers. You must take reasonable care of the equipment, ensure guests follow the demonstration and written instructions, keep cables and access routes clear, and stop anyone using the equipment unsafely. Do not allow anyone too impaired by alcohol or other substances to operate or supervise it. An agreed representative does not automatically become the contracting hirer or assume a personal guarantee. Any responsibility for damage or loss remains subject to clauses 8 and 9, including the exclusions for fair wear and tear, existing damage, inherent faults and damage caused by us. Keep drinks away, protect it from rain and damp, secure it when unattended and keep children supervised. Do not sub-hire it, remove identifying marks, install software, share software logins or attempt repairs. You are responsible for damage caused by misuse or a failure to take reasonable care by you or people you allow to use it. Stop using an item if it appears unsafe or develops a fault, and tell us promptly.

8. Damage, missing equipment and theft

You are responsible for evidenced damage or loss attributable to your breach of these terms, misuse or failure to take reasonable care during the hire. You are not charged for fair wear and tear, recorded pre-existing damage, an inherent fault or damage caused by us. For a repairable item we seek the reasonable repair cost. If it is lost or beyond economical repair, any claim reflects the reasonable value of a comparable item of similar age, condition and specification; it is not automatically the cost of a brand-new upgrade. We do not recover the same loss twice through both insurance and the customer. Report theft promptly, including to the police where appropriate, and cooperate with reasonable enquiries.

9. Evidence and damage disputes

We notify you promptly of any suspected damage or missing items and provide the relevant handover/collection records, photos and an itemised estimate or invoice. You have a reasonable opportunity to respond and obtain clarification before liability or the amount is agreed. We do not charge a card or debit your bank account automatically. An agreed damage amount is payable on the date stated in the separate invoice. A disputed claim must be resolved by agreement or the appropriate legal process; signing a handover record is not consent to any amount we later demand.

10. Cancellations and faults

Contact us as soon as possible if you need to cancel or change the date. Any cancellation charge is limited to reasonable evidenced losses directly caused by cancellation, taking account of costs saved and any replacement booking. There is no automatic forfeiture of all payments. Any statutory cancellation rights that apply are preserved and will be explained before a binding booking is made. If we cannot supply the agreed hire, we offer an agreed alternative or refund payments for the unavailable service. Faults or problems caused by us are dealt with fairly, including an appropriate repair, replacement or refund where required.

11. Commercial venues and music permissions

Tell us if the event is at a pub, hotel, club or other commercial venue. The hirer must ensure that the venue owner or operator has checked and obtained any valid premises licence, club premises certificate, Temporary Event Notice or other entertainment authorisation required for the event and its agreed hours, unless a lawful exemption applies. The hirer must obtain confirmation from the venue before the event and comply with all applicable licence conditions, permitted hours, noise limits and safety rules; this includes confirming authorisation for any entertainment continuing after 11pm. The hirer must confirm with the venue owner or operator that any required public-performance music licence, including PPL PRS TheMusicLicence where applicable, is valid and covers the planned karaoke, background music and disco activities. A licence covering background music alone may not cover every planned use; the venue or organiser must check the scope with the licensing body before the event. These music copyright permissions are separate from council premises or entertainment authorisations and are not included in the equipment hire charge. These terms bind the hirer and do not impose contractual duties on a venue owner who is not a party to the hire agreement. Nothing in this clause removes any legal responsibility that applies to us. We remain responsible for the rights and permissions needed to supply our own equipment and software; the hire does not transfer software accounts or permit unlicensed use. Public-performance permissions are separate from the karaoke software subscription. Commercial use must be agreed before payment.

12. Your legal rights and information

Nothing in these terms excludes liability for death or personal injury caused by negligence, fraud or any liability that cannot lawfully be excluded. Consumer statutory rights remain unaffected. We handle contact details, booking records and proportionate equipment-condition evidence to manage the hire and any genuine dispute. Contact the hire provider using the details on your written quote for questions or complaints. These terms are governed by the law of England and Wales, without removing any mandatory protections or local court rights available to consumers.
